  1. Open Billing in your fleet login.
  2. Read the rates and tick the agreement if it's shown.
  3. Tap 'Start monthly Square subscription ($69 fleet…)'.
  4. Complete Square checkout with your card.
  5. Approve phones under Devices. Extra seats appear only when a phone starts a route – not when you just approve it.

You can approve phones and practise login before the card is on. Add billing only when drivers need to run paid routes. That way, you're never paying for setup time.

What the driver sees vs what the office sees

Drivers don't need to worry about billing. They just open the app, see their sorted stops, and deliver. The app shows them the best stop order, turn-by-turn navigation to Google Maps or Waze, and lets them capture proof of delivery.

The office, on the other hand, has the full picture in the fleet login. Under Billing, you can see:

  • Which phones have run routes this month
  • What you're being charged for
  • Invoice history with PDF downloads

You'll also see a live map of where each driver is, but that's separate from billing – it's just part of the service.

Let's say you have three drivers, but only two are active this month. Here's what happens.

  • You approve all three phones for free.

  • Driver C hasn't run a route yet, so no charge for that phone.
  • Next month, Driver C quits before running a route. You remove the phone, and you've never paid for it.
